Instructions: Bulk Import a List of Patrons

You may upload a CSV (Comma Separated Values) file to import patrons in bulk. 

Please ensure there are no double-quotes (") within each cell.

The right-side menu >> Contact Manager >> Upload icon is the place to perform the upload.

Your excel spreadsheet should have the following labels in the top row, and matching information below, one guest per line:

Column Header Description
FIRST The person's first name - required
LAST The person's last name - required
EMAIL The person's email address - optional if a cellphone number is present
CELL The person's mobile phone number - optional if an email is present
BIDNO Optional, the person's bidding number, as supplied by the organizer
LANGUAGE Preferred language, noted by EN (English) or FR (French) - optional, ignored if auction not configured for bilingual operation
SMSALERT Optional, to denote if the cell phone for this person is to be sent outbid alerts by text messaging (Y or N). If not indicated, the default is Y.
EMAILALERT Optional, to denote if the email address for this person is to be sent outbid alerts (Y or N). If not indicated, the default is Y.
SMSNOTIFY Optional, to denote if the cell phone for this person is to be sent notifications by text messaging (Y or N). If not indicated, the default is Y.
EMAILNOTIFY Optional, to denote if the email address for this person is to be sent notifications (Y or N). If not indicated, the default is Y.
IDENTIFIER Optional, a unique identifier used to track a patron in other software systems (Raiser's Edge, CRM etc.)  Will be available in a downloaded list of patrons at the end of an auction.
  • The columns can be in any ordermixed case
  • Cellphone numbers must be 10 digits, but may contain any punctuation or spacing. Do not provide landline numbers, as the number will be used for SMS/text messaging. 
  • Should you provide multiple names and contact information for spouses, each should be on a separate line. Each will be able to bid separately, and will get separate invoices at the end of the auction and be required to pay separately to clear each account. 
  • Export your excel spreadsheet as a "comma-delimited file.csv". 
  • This will APPEND records to the existing database, with the following caveats:
    • Records with no first name, or no last name will be skipped (e.g. both first and last names are needed.)
    • Records with no contact information (e.g. no email and no cellphone) will be skipped.
    • Records where the email or the phone number match a record that already exists in the database will be skipped, preventing duplicates.
    • If not specified in the import file, where an email is present it will be enabled for alerts, and where a cellphone number is present it will be enabled for alerts.
